Main purpose of job
Assist in the smooth running of the firm by performing administrative tasks arising from the work of the firm and its internal operation. This will include a variety of tasks from those listed below but will not be limited to the main responsibilities given below.
Key tasks (not an exhaustive list)
- Answering all incoming calls.
- Dealing with all enquiries/visitors to reception.
- Booking interpreters.
- Scanning.
- Photocopying.
- Printing off letters/documents prepared by a typist and fee earners when necessary.
- Hand deliveries in central Birmingham when necessary.
- Keeping supplies of forms stocked and ensuring those forms are up to date.
- Photocopier maintenance reporting and ordering of photocopier consumable supplies.
- Recording Court hearings in the Court Diary and Fee Earner’s Diary.
- Maintenance and upkeep of the Library.
- Preparation of outgoing mail for DX/franking/posting including upkeep of supplies for the franking machine.
- Ensure the tidiness of the post room and stationery areas, emptying/loading the dishwasher.
- Ensure the confidentiality of all the firm’s and clients’ documentation and information.
- Undertake other clerical and administrative duties as may reasonably be required from time to time.

Essential/Desirable Skills
Good administrative skills including carrying out tasks efficiently and accurately. I.T. skills including the ability to assist colleagues with minor computer issues. Ability to prioritise workload. Good keyboard skills, ability to learn new tasks effectively.
Essential/Desirable Knowledge
The firm’s procedures. Understanding the particular problems of our client group.
Essential/Desirable Experience
Working in a legal practice in an administrative capacity. Working in a publicly funded organisation.
Job details
Hours of work: 9.00 a.m. – 5.00 p.m., Monday to Friday (1 hour for lunch).
Holidays- 25 days per year plus statutory Bank Holidays
Salary: £22,932 per year
